Assistant Manager Position at Double R Guest Ranch: Full Time

What we look for in our Assistant Manager:

A Double R Guest Ranch Assistant Manager is the person who helps everything run smoothly behind the scenes as well as ensuring each guest has an exceptional experience. They are a person who can build trust, maintain standards, notice problems early, support staff, and consistently improve the guest experience. Having good judgment, leadership presence, and genuine care for people and operations is the person we seek. You must have a desire to learn how systems work at Double R Guest Ranch. You will be working closely with the Owner but also need to be able to oversee, supervise and run operations alone when the Owner is off site.

Core Responsibilities

Guest Services & Hospitality

  • The Essential Question: “How will this experience feel from the guest’s perspective?”
    • That mindset influences everything from activity scheduling to meal service to how you greet guests.
  • Provide sincere and gracious hospitality to guests at all times
  • Take your meals with the guests. Get to know them. Enjoy this time together.
    • At dinner, learn how their day went and what they would like to do ‘tomorrow’ if not checking out.
    • At breakfast, collaborate with the guests to determine how their day will unfold (riding, ranch activities, excursions etc).
    • Lunch provides an opportunity to check in with guests and help coordinate the rest of the afternoon.
  • Resolve any complaints with urgency and professionalism
  • Manage reservations and check-in, check-out protocols
  • Help arrange transfers to and from the ranch and airport
  • Assist in setting up excursions for guests such as visiting Tombstone, local wineries or attending rodeos
  • Share knowledge of the local community and what it has to offer guests
  • Coordinate VIP arrivals and accommodate special guest requests
  • Ensure each guest will have a “5 star experience”

Operations and Facilities Management

  • Assist the Owner in hiring, training and scheduling seasonal staff across multiple departments (e.g. housekeeping, wranglers and cooks)
  • Oversee the general maintenance of lodging cabins, ranch infrastructure and grounds
  • Ensure workspaces, barns and common areas remain clean and organized
  • Supervise daily departmental checklists and hold team members accountable to ranch standards and standard operating procedures.
  • Coordinate service visits with veterinarians, suppliers, contractors and the Owner
  • Coordinate the set up of recreational activities which may include cookouts and campfires and other on site events
  • Be available to fill in if there are unexpected staff absences except for Wrangling. Assist the Owner with securing staff substitutes

Business and Administrative Skills:

  • Process guest billing
  • Inventory management and ordering supplies
  • Record keeping
  • Update the ranch website and social media sites such as Facebook and Instagram
  • Schedule labor and projects
  • Prioritize competing demands
  • Follow through on details to ensure commitments are actually completed

Situational Awareness

This is often one of the most important assistant manager skills.

  • Keeping track of multiple activities simultaneously
  • Noticing small issues before they become large problems
  • Understanding how different ranch operations affect one another
  • Staying aware of guest safety, staff workload, equipment needs, and scheduling concerns
  • Seeing the “whole ranch picture” rather than focusing on only one task

Strong Communication Skills

  • Daily, ongoing collaboration with the Owner
  • Clear, respectful communication with guests
  • Professional communication with the team members (staff and volunteers)

  • Diplomatically handling complaints and concerns

  • Help staff make sound decisions under pressure

  • Have a current basic first aid and CPR certification

Compensation

Full Time Assistant Manager Position:

5 days on, 2 days off per week. In general, your day ends after dinner unless there is a guest emergency.

Salary and Compensation: $60,000/annually + Tips. This salary is a combination of bi-weekly wage of $1800 plus housing, meals and guest tips. Opportunities for salary advancement after a year are possible.

  • Housing (Equivalent Value: $800 per month): Includes rent, water, electricity, and internet. On-site staff housing is a private 39′ RV with one or more slide outs, full galley kitchen, shower, bathroom, living area, bedroom, in a private setting.
  • Meals (Equivalent Value: $600 per month): Includes 3 daily meals. Staff usually eat the same high-quality food prepared for paying guests or have dedicated staff meals.
  • Tips, Gratuities are pooled (15% of reservation) and distributed equally among all staff members. Gratuity amounts vary seasonally and are generally higher during the high season than in the summer months. In addition, guests may choose to tip individual staff members directly; any direct tips are yours to keep in full.
  • Additional Benefits include access to Ranch Amenities during your time off which may include horseback riding, hiking, use of the pool or hot tub.
  • Joining some excursions at no cost may also be possible.

Living on-site completely eliminates commuting expenses and most utility bills, allowing staff to save the majority of their wages.
